The registration of a new project can be done automatically by importing a file from the most common CAT tools (Trados, Transit, etc.) or by accepting a previous quote. The search for translators for each job is supported by a useful assistant who filters all available collaborators for the services offered, the languages of origin and destination, the translator's native language, the translator's assessment according to the work carried out, their specialties (medical translation, legal translation, etc.), the tools they use (Trados, WordFast, etc.), their population, the prices they apply, their workload, availability, etc.

Integrated document management
The program automatically generates a folder for each client, quote, project and translator, allowing to freely define the structure of folders that are created automatically in each folder (origin, destination, memories, glossary, etc.)
From the project, you can attach the source and destination files and import the CAT tools analysis files. You can automatically generate and receive the work orders for the translators and send the translated files to the client.
Tracking of the tasks
The tracking of each project or task can be done in different ways within the program. Through a visual calendar, using a planning or with different task lists.
The Automatic Reminder Model System automatically sends reminder emails to Project Managers, Translators, Customers, etc. Notifying them of the upcoming expiration of tasks or projects, availability of new files on the Intranet, expiration of invoices, etc. The notices are fully customizable by the agency and can be activated or deactivated for each client, employee or supplier.
Delivery of projects
The delivery and billing of a finished job is done by a simple mouse click, automatically generating the invoice, its accounting, taxes and collection forecasts associated with the project. The system can also notify the client of the finished work and send him an email with a link so that he can download the files of the finished translation.

The financial and accounting control of the agency is done automatically while making invoices and collections to customers or invoices and payments of translators or suppliers. The program automatically makes the accounting of all expenses and incomes to each project. Gespoint Translator is adapted and updated continuously for the new regulations (SEPA, SII, RGPD, E-Invoice, etc.) in the countries where the program is available.
Management of translation or interpretation quotes
Gespoint Translator allows to make quotes in a fast way, speeding up the process. Specify the language of origin, the destination language, the type of work to be performed (translation, interpretation, etc.) and the number of units needed (words, hours, documents, etc.). The program will automatically calculate the price to be applied according to the client and the rates of the agency.

The translator can consult and modify their data, send their CV to the agency and request to work with it, accept the general working conditions of the agency, register their specialties and rates, the CAT tools with which they work, advise of their periods of absence, access to the work that the agency has assigned and are pending execution, download the original documents to be translated and upload the files of the documents already translated, consult the history of tasks already completed and their invoices issued to the agency, being able to see its status (pending or paid)
The intranet of Gespoint Translator allows the translator to issue their invoices to the agency from the platform itself, notifying the person in charge of the administration of the "pre-invoiced" tasks for its review and validation.
When the translator marks a task as completed, the system automatically notifies the person in charge of the project by sending an email with all the data of the completed task and a link to the files translated by the translator.
Intranet for clients
The client can consult and modify their contact information, request new works from the agency, attaching the files to be translated and comments, download the already translated files, send queries or claims to the agency, consult the history of completed works and the invoices received. being able to see its status (pending or paid).
Intranet for employees
From any device connected to the Internet, Project Managers can consult and modify their contact data, track the assigned projects, download or attach source or destination files of each task, consult the database of customers, suppliers and contacts .
The intranet of Gespoint is 100% customizable, allowing to show the data and logos of the agency, its corporate colors and to give it an aspect according to its image on the Internet.
Infrastructure, privacy and security
The Gespoint Translator web module is installed on the translation agency's own servers, so all the company's information always remains on the agency's premises, subject to its own security, privacy and access control controls.
The multi-currency module of Gespoint Translator allows you to work throughout the program with different currencies and exchange rates. It is possible to define prices of customers and suppliers according to the currency used by each one, issuing quotes, orders, invoices, collections, payments and accounting entries in different currencies.
The program automatically records and accounts for differences, positive or negative, caused by exchange differences when operating with different currencies.
Working with different currencies in translation projects is agile and transparent for the user. It is possible, for example, to define a project with a sales currency for the customer, different from the local currency used by the agency, and subcontract different tasks to external translators using a different currency from the previous two for each subcontracted work.

3 - Obtain an average valuation per translator.
4 - Do searches and compare translators, at the moment of assigning a job to a translator, according to the valuation that each one has.
5 - Document management: File of valued tasks, tests carried out, confidentiality clauses.
6 - History of valuations: A list of each task that the translator has made can be obtained quickly, according to the language combination, the date, the valuation assigned to each one, etc. This list is exportable to Excel, Word or Pdf. You can also filter between dates, by translator (to see the ratings of each task of the translator) or by language combination (to see which translator has the best rating by combination)
From each task or project it will be possible to access the source file that has been translated into the task and the destination that has been evaluated, being able to see the notes assigned to each criterion evaluated in the task. All the information is in the history of the program and is accessible at any time, through filters.

Reminders of translation tasks
The Gespoint Translator Automatic Reminders Model (ARM) guarantees that no important task is forgotten. The system automatically monitors the due date of each task of the projects in progress and sends emails reminding the next deadlines to the parties involved in a project (Project Manager, Translator, Employee and/or Salesperson).
Notice of new project assigned
The system can also notify the person in charge of a new project or Project Manager that a new project has been assigned to him and he must start managing.
Collection reminders to customers
The system can be programmed to automatically remind customers of the due date of their invoices, facilitating and automating the collection management of the company.
The ARM system allows you to define the text of the notices that will be sent to employees, customers and suppliers, as well as the period of notice with which they must be notified. It is possible to define the notices in different languages so that each client, employee or supplier gets the notice in their language.
It is possible to select which customers, suppliers or employees send or not send automatic notifications, being able to use the reminder system only with the selected people.

The warehouse module of Gespoint Translator allows controlling the available stock of material (interpretation booths, audiovisual equipment, public address systems, etc.). Warehouse movements are recorded automatically as invoices from material suppliers or sales or lease invoices to customers are registered.
When releasing a material for rent it is possible to specify the delivery date of the material, the start and end date of the rental, the rate for days, hours, etc., associating this output with a project or task of interpretation. When the client returns the rented material, the system automatically records the entry in the warehouse of the returned material and the return date, allowing to know at all times what material is rented and pending return for each client and/or project.
At all times it is possible to comfortably consult all the entries and exits that a specific equipment or material has had, allowing to see who has been purchased, what has been its acquisition cost and who has been sold or rented and the current stock of said material.
The program allows consulting the complete inventory of all available material, separating the articles by brands, families and subfamilies, making manual adjustment movements for losses or breaks, managing different warehouses of the company and carrying out material transfers between the warehouses.
When outputting a material, it is possible to indicate the place of delivery, the contact person, the carrier that will take the material, its issue number or tracking, the packages, kilos, and volume of the material and the required delivery date.
